Before you ask for cloth, write the decision the sample must help you make. Choose a format for that work; another small swatch no go necessarily answer wetin the first one no fit show.
Small swatch: first surface choice
Keep the swatch for comparing face and feel, with the article and colour attached. Write which side and direction you checked. Small area no show the full front hang or all the bulk for collar. If na those details you need decide, explain the missing observation instead of marking the whole cloth approved.
Bigger cutting: explain the area
Tell supplier the uninterrupted area and direction you need, and how you plan support or hang am. Ask which actual size dey available for that article. When the cutting arrive, record the dimensions and compare candidates with the same setup. Different sample sizes fit change what you notice; no treat that difference as laboratory proof.
Trial metres: start from pattern pieces
Let pattern maker list the collar, facing, hem or front pieces, usable width, cutting direction and repeat count. Include intended lining, interfacing and closures. That layout, not GSM alone, helps estimate length. If material scarce, give priority to the detail wey fit make you change cloth. Put unit and purpose beside the requested length.
Keep delivery and records together
Check article, colour and specification version against your request before cutting. Write what came, what information still missing and which trial the piece can support. If bigger cutting look different from old swatch, keep both and ask whether finish changed or supplier dey propose another article. Repeat only the affected observation with comparable conditions.
Ask for a reply you can use
Send the garment, sample identities, fixed fibre/care needs, trial question and requested format. If you no fit estimate length yet, send the pattern plan and ask advice. Ask supplier to confirm sample costs, quantity, colours, dispatch and dates. Record their answer beside your request; requested date no be confirmed delivery.
Only small swatch dey: wetin fit move forward?
If only labelled swatch fit arrive before review, use am for surface shortlist. Ask when cutting for front or collar trial fit follow. Write wetin you received, wetin you actually checked and wetin still dey wait. If sewing result must come now, discuss another identified article or change the milestone. Fine surface no be approval for the full construction.
