Download a blank RFQ worksheet. Include the project, fixed requirements, known weight and width, quantity per colour, sample format and target schedule. Ask Fred to confirm specifications and commercial conditions.
Show exceptions beside the original quotation
Retain the supplier's original unit and scope, then ask about any difference from your current brief. Do not silently substitute another article or an assumed usable width. Link the clarified reply to the same sample revision used for the comparison, keeping sample charges and bulk-price information separate.
Make a quotation exception visible
If the supplier answers with an alternative article, retain the original request and list the proposal separately. Ask which current specification and physical cutting the quotation represents. Keep unclear weight, width or quantity bases open instead of editing them to make the totals appear comparable.
Before choosing between proposals, identify which exception needs a buyer decision and which needs a supplier clarification. Carry the reply reference and revised requirement into the next enquiry.
