Download a blank specification worksheet. Record sample identity, composition, weight and unit, total width and usable width separately. Keep supplier evidence and buyer targets distinct.
Keep targets and confirmed specifications in separate fields
Write the buyer requirement first, then add the supplier's current statement and its sample revision. If a unit or width is missing, flag it for clarification rather than copying a value from another article. Use the specification guide before converting a number or calling a target an accepted tolerance.
Mark a reply that changes the specification
Keep the requested field, the supplier's current statement and its sample reference distinct. If the reply proposes a different value, label it as a proposal until the buyer decides whether to revise the requirement. Do not replace an unknown figure with a value from a similar colour, old cutting or collection description.
Add the reply date or file reference and the next action beside the open field. A later reader should be able to tell whether information was received, whether it applies to this material and whether it was accepted for this project.
